This policy explains what personal data Sea Breeze Property Services collects through seabreezelettings.com, why we collect it, who receives it, how long we keep it and what rights you have. It follows the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 (PECR). Sea Breeze Property Services is a trading name of Flexie Estate Agents Ltd (company number 12267313, registered in England and Wales, registered office 557 Charminster Road, Bournemouth, BH8 9RF). We are part of the Flexiestays group. Flexie Estate Agents Ltd is the controller of the personal data described in this policy.

This policy covers this website only. Guest bookings are made on flexiestays.com, which is run by Flexiestays Ltd (company number 15208026), and on third-party booking platforms. Each publishes its own privacy information. A plain-English guide to your rights is on our data protection page.

What we collect

We collect personal data only when you send it to us through a form, plus limited technical data about how the site is used.

We do not ask for sensitive information such as health details or bank details through the website. Please do not put it in a message. The site is written for property owners and is not aimed at children.

We do not sell personal data, and we do not make decisions about you by automated means alone. Calculator results are estimates shown to you, not decisions.

Marketing emails

We send marketing emails only if you tick the marketing checkbox on a form. The box is separate from the rest of the form, is never ticked for you, and sending an enquiry does not depend on it. We record whether you ticked it, when, and the wording shown to you.

You can withdraw consent at any time by using the unsubscribe link in any marketing email or by emailing services@seabreezelettings.com. Withdrawing consent does not affect our reply to an enquiry you have sent.

Who we share it with

  • The Flexiestays group. Your enquiry is passed to the group's customer relationship management (CRM) system so that the team can respond.
  • Cloudflare. Our hosting and infrastructure provider. The website, its database and the forms run on Cloudflare's network.
  • Google. Only if Google Analytics is enabled on the site and only after you accept analytics in the cookie banner.
  • Advisers and authorities. Professional advisers, regulators, courts or the police, where the law requires it or where it is needed to establish or defend a legal claim.

Service providers act on our instructions under a written contract and may not use your data for their own purposes.

International transfers

Cloudflare operates a global network, so data may be processed on servers outside the United Kingdom. Where personal data is transferred outside the UK, we rely on UK adequacy regulations or on the safeguards approved for UK transfers, such as the International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.

How long we keep it

When a period ends we delete the data or make it anonymous.

Analytics and cookies

The site keeps its own first-party log of page views. By default it uses no cookie and stores nothing on your device: visits are counted with an anonymous identifier made on our server from a one-way hash of the IP address and browser type, which changes every day. The IP address itself is not stored in the analytics record.

If you accept analytics in the cookie banner, the site also sets one first-party cookie, sb_v, which holds a random identifier that joins your visits together for 12 months, and uses your browser's session storage to group the pages of one visit. If you decline, neither is used and the site works in exactly the same way.

Google Analytics runs only if we have enabled it and only with your consent. Until you accept, Google's storage stays switched off.

Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you and receive a copy of it.
  • Rectification: have inaccurate or incomplete data corrected.
  • Erasure: have your data deleted where we no longer have a reason to keep it.
  • Restriction: ask us to limit how we use your data while a question about it is resolved.
  • Objection: object to processing based on legitimate interests, and object at any time to direct marketing.
  • Portability: receive the data you gave us in a commonly used, machine-readable format, where the processing is based on consent or a contract.
  • Withdraw consent at any time, where we rely on consent.

To use any of these rights, email services@seabreezelettings.com or write to us at 557 Charminster Road, Bournemouth, BH8 9RF. We may ask for information to confirm your identity. There is normally no charge, and we reply within one month. The law allows that period to be extended by up to two further months for complex or numerous requests, and we will tell you if that applies. Our data protection page explains each right and how a request works.

Complaints

If you are unhappy with how we have handled your data, please tell us first at services@seabreezelettings.com. We will acknowledge a complaint within 30 days and reply without undue delay.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Security

Forms are sent over an encrypted (HTTPS) connection. Enquiry data held on the website is accessible only through a staff sign-in. No system is completely secure. If a breach is likely to put your rights at high risk, we will tell you and the ICO as the law requires.

Changes to this policy

We will update this policy when the way we handle personal data changes or when the law does. The date below shows the latest version. If a change is significant and we hold your email address, we will tell you by email.
