Your data and your rights

A plain-English guide to the rights you have over the personal data we hold about you, how to use them and how we keep your data safe.

You have rights over the personal data we hold about you: to see it, correct it, delete it, limit or object to how we use it, and take it elsewhere. Using them is free in most cases, and we reply within one month. This page explains each right in plain English and how to make a request. The full detail of what we collect and why is in our privacy policy.

The controller of your data is Flexie Estate Agents Ltd, which trades as Sea Breeze Property Services (company number 12267313, registered in England and Wales, registered office 557 Charminster Road, Bournemouth, BH8 9RF), part of the Flexiestays group.

Your rights under UK GDPR

Right What it means for you
Access You can ask whether we hold data about you and get a copy of it, with an explanation of how we use it, where it came from and who we share it with.
Rectification You can have data that is wrong corrected, and incomplete data completed.
Erasure You can ask us to delete your data, for example when we no longer need it or you withdraw consent. We may keep some of it where the law requires us to, and we will tell you if so.
Restriction You can ask us to keep your data but stop using it, for example while we check whether it is accurate.
Objection You can object to us using your data on the basis of our legitimate interests. You can object to direct marketing at any time, and we will stop.
Portability You can ask for the data you gave us in a common, machine-readable format, or ask us to send it to another organisation, where we use it on the basis of consent or a contract.
Withdraw consent Where we rely on your consent, such as for marketing emails or analytics cookies, you can withdraw it at any time. It does not affect what we did before you withdrew.
Automated decisions You have rights about decisions made about you by automated means alone. We make no such decisions.

How to make a request

Email services@seabreezelettings.com, or write to us at 557 Charminster Road, Bournemouth, BH8 9RF. You can also ask by phone on 01202 619868, and we will confirm the request in writing. You do not need to use a form or mention the law.

To help us deal with it quickly, include:

  • your name and the email address or phone number you used with us;
  • which right you want to use;
  • what the request is about, for example an enquiry you sent, a booking or a management agreement, and roughly when.

Someone else, such as a solicitor or a relative, can make a request for you with your written permission.

Checking your identity

Before we disclose or change any data, we make sure the request comes from you. If you write from the email address we already hold, that is usually enough. If not, we may ask for more information. We ask only for what we need, and the one-month period starts once we have it.

How long we take, and the cost

We respond within one month of receiving your request. If a request is complex, or you send several, we can extend that by up to two further months. If we need to, we will tell you within the first month and explain why.

There is normally no charge. If a request is clearly unfounded or excessive, we may charge a reasonable fee or refuse it, and we will explain our reasons and your right to complain.

How we keep your data secure

  • Forms on this website are sent over an encrypted (HTTPS) connection.
  • Enquiry data is stored in the website's database on Cloudflare and in the Flexiestays group's CRM, both reached only through staff sign-ins.
  • Access is limited to the people who need it to answer you or manage a property.
  • Service providers handle data only on our written instructions, under contract.
  • We keep data only for as long as we need it, as set out in our privacy policy, then delete it or make it anonymous.

If something goes wrong

We handle personal data breaches under UK GDPR. We record every breach, contain it and assess the risk. Where a breach is likely to put people's rights at risk, we report it to the Information Commissioner's Office within 72 hours of becoming aware of it. Where the risk to you is high, we tell you directly and without undue delay, with what happened and what you can do.

Frequently asked questions

How much does a data request cost?

Nothing in most cases. We may charge a reasonable fee, or refuse, only where a request is clearly unfounded or excessive, for example repeated requests for the same information. If that applies, we will tell you why within one month.

Do you use automated decision-making?

No. We do not make decisions about you that have a legal or similarly significant effect by automated means alone. The income calculator on this site shows an estimate based on the details you enter; it is not a decision about you.
